Recently there has been a number of practices reporting error messages relating to local protocols and alerts.

If the practice has created a patient status alert or protocol which is triggered by a report please be aware that TPP do periodically perform house keeping in relation to old system wide Clinical Reports. These errors will occur when a report that has been linked is subsequently deleted.

You may see an error message advising you that you have a Patient Status Alert or Protocol linked to a Clinical Report which no longer exists. The error message will advise you of the name of the affected status alert or protocol.

Patient Status Alert Errors

Go to Setup > Data Output > Patient Status Alerts. Look for the Patient Status Alert which is mentioned in the error message.

  • Disable the alert by removing the tick from the 'Enabled' column. This will stop the error message for all staff at the practice
  • You can then either amend the alert to look at a more recent report or (if you are authorised to do so) delete it if it is no longer needed
  • To amend an alert right click > Amend and you will see this window. You can see the name of the report that triggers the alert. To the left of the name click on the red symbol reports button and search for whichever report you now want to trigger it. Then click OK
  • The last thing to do is to make it active by putting the tick back in  'Enabled' column

Protocol Errors

These are usually when a  protocol has been created locally to trigger automatically on patient record retrieval and if they are in a report. So when the report is deleted this means that the error message will appear on every patient on retrieval.

  • Go to Setup > Data Entry > Protocols. Look for the protocol that is mentioned in the error message
  • Again the first action is to disable it by removing the tick from the 'Active' column. This will stop the error message for all staff at the practice
  • You can then either amend the protocol to look at a more recent report or (if you are authorised to do so) delete it if it is no longer needed
  • To amend a protocol right click > Amend and you will see this window. There are four tabs and as you can see in this example it is configured to automatically launch on patient record retrieval

  • On the filters tab you will see the report that has been linked to this protocol. This is an old System Wide QOF report which has since been deleted

  • As with the Patient Status Alerts, to the left of the report name click on the red symbol reports button and search for whichever report you now want to filter patients by. Then click OK
  • The last thing to do is to make it active by putting the tick back in  'Enabled' column
